RightToManage.com is an educational website for UK leaseholders. For our contact details, please visit our contact page.
What we collect
- Eligibility quiz: If you complete the quiz and provide your details, we may collect your name (if given), email address, your answers, your result, and any optional information you choose to share about your situation.
- Contact form: If you use our contact form, we collect the information you submit — such as your name, email address, and message.
- Technical data: Our hosting and analytics providers automatically process certain technical information when you visit the site, such as IP address, device type, browser, and usage data.
- Section 20 letter tools and service charge challenge letter: If you use these tools, we collect your full name, email address, postal address, phone number, landlord or managing agent name and address, and any financial figures you enter (such as estimated costs or disputed amounts).
- RTM notice wizard: If you use the RTM notice wizard, we collect your RTM company name and registered office, director names and addresses, qualifying tenant names and flat numbers, and your building address.
- Generated PDFs: Letters and notices you generate are stored temporarily as PDF files in secure cloud storage so you can download them via the link sent to your email.
How we use your data
We use the information you provide to respond to you, send the materials described at the point of collection, and improve our content. Analytics data is used only in aggregate to understand how the site is used.
Email follow-ups
If you submit the eligibility quiz and provide your email address, we may send you a short series of follow-up emails containing educational content, practical guidance, and occasionally information about relevant products or services we think may be useful to you. Every email includes an unsubscribe link and you can opt out at any time.
Letter builder and RTM wizard tools
Several tools on this site let you generate personalised letters and legal notices. Here is how your data is handled for each.
Section 20 observation letters (Stage 1 and Stage 2)
- Data collected: Full name, email address, postal address, phone number, landlord or managing agent name and address, and financial figures you enter such as estimated or disputed costs.
- Why we collect it: To generate and email you a personalised letter. Lawful basis: performance of a contract (providing the service you requested).
- Retention:Letter data is kept for 6 months and then deleted automatically. You may request earlier deletion at any time — see “Requesting erasure” below.
Service charge challenge letter
- Data collected: Full name, email address, postal address, landlord or managing agent details, and the financial figures relating to the disputed service charge.
- Why we collect it: To generate and email you a personalised challenge letter. Lawful basis: performance of a contract.
- Retention: Letter data is kept for 6 months and then deleted automatically. You may request earlier deletion at any time.
RTM notice wizard
- Data collected: RTM company name and registered office, director names and addresses, qualifying tenant names and flat numbers, building address, and any other details you enter during the wizard.
- Why we collect it: To generate your RTM participation and claim notices and to save your progress between steps. Lawful basis: performance of a contract.
- Retention: Draft data is kept for 30 days and then deleted automatically. You may request earlier deletion at any time.
Generated PDF notices
- What is stored: The PDF files we generate for you — which contain the personal data you entered — are stored in secure cloud storage so you can download them via the link sent to your email.
- Why we store them: To give you temporary access to download your notices. Lawful basis: performance of a contract.
- Retention: PDF files are deleted automatically after 30 days. Download links expire after 7 days.
Where your data is processed
We use trusted third-party providers for hosting, email delivery, and analytics. These providers may process data in the UK, EEA, or other countries where appropriate safeguards are in place.
How long we keep your data
We keep personal data only for as long as needed for the purposes described above, unless a longer period is required by law. Specific retention periods are:
- Quiz submissions and contact messages: Retained for 24 months, then deleted automatically.
- Letter builder data (Section 20 letters, service charge challenge letter): 6 months, then deleted automatically.
- RTM wizard draft data: 30 days, then deleted automatically.
- Generated PDF files: 30 days, then deleted automatically from cloud storage.
Your rights
Under UK GDPR you may have rights including access, rectification, erasure, restriction, and objection to direct marketing. You may also complain to the Information Commissioner's Office (ICO). To exercise any of these rights, please contact us via our contact page.
Requesting erasure of your data
You have the right to request that we delete all personal data we hold about you (UK GDPR Article 17). This includes any data stored in connection with the eligibility quiz, contact form, letter builder tools, or RTM notice wizard.
To request erasure, email us at info@righttomanage.com with the subject line “Data erasure request” and include the email address you used when submitting any form or tool on the site. We will confirm receipt and complete the erasure within 30 days.
Cookies
We use cookies where necessary for the site to function and, with your consent, for analytics. The analytics tools we use are Google Analytics 4 (page visits and navigation data, with IP anonymisation enabled) and PostHog (feature usage and drop-off analysis). Neither tool is used for advertising or individual profiling.
